Terms of Graphic Design Services

I have tried to make these terms of services as clear and straightforward as possible, however if you have any questions, please don’t hesitate to contact me. I have recently updated my terms of service and policies to comply with General Data Protection Regulation.

Acceptance of my Terms of Services

By using my services, you agree to the terms laid out below. You may refuse to agree to the terms laid out here thus terminating my responsibility to provide you any services previously discussed. If you think we might still work together, please contact me and we can discuss your reservations.

The following terms are non-negotiable and apply to ALL projects unconditionally:

Design Services

My book and graphic design prices are based on my standard service time to consult with clients, search for photography, work with sample designs, and create the finished design. Any additional fees will be discussed prior to invoicing.

100% of the design fee is due upon finalization of your design project and BEFORE the release of the final design. Design fees do NOT include the rights to any of the draft covers or sample designs that were provided before selection of the final design. Drafts cannot be shared online (Facebook, blogs, Twitter etc) for copyright reasons. As soon as the cover has been fully paid for you have the right to share the cover wherever you like.

For legal and licensing reasons, I require all clients to provide/purchase the images used in your design. I can search stock photography sites for images to use and walk you through the process of buying the correct image size and license for your project.

The Design Process

  1. After you decided upon the services you want and place an order, I’ll send a questionnaire for you to fill out which will help me understand your needs better. Once you answer the questions and send it back to me, I may do a few follow up questions and I will let you know when I can schedule in your design project.
  2. On or around the starting date I gave you, I will start concepts for your design. For a cover design, I will start off with the front/eBook cover. Please be aware that unless you provide the images, anything I create at this stage will have the watermark of the stock image provider on it. Once we decide upon the design you want, I will ask you to purchase the images and I will create the cover design of your choice.
    • If one concept is headed in the right direction, we will work on improving that until you are 100% satisfied with the result.
    • If none of the original concepts I sent work for you, I will ask for feedback on what you liked and didn’t like before working on new ones. If we need to make more than 3 rounds of completely different new concepts, something is wrong and a serious rethink is needed. At any point, you can request a refund if the design will not be used. 
  3. Once you have selected a concept to move forward with, I will ask you to purchase the images needed for your design. At this point, any earlier concepts are “off the table” and no longer available to be used. If you decide to continue with an earlier draft after it has been rejected, the later draft designs will be charged for at a separate fee of at least 50% of the value of the normal design fee.
  4. After you decide to go with one of the concepts, I will make as many changes as necessary to the design, within reason. I want you to be happy with the final product, but if I can see that no matter what changes I do, or if I just cannot do what you are looking for and it’s not going to be satisfactory, I reserve the right to cancel the project and refund all fees you have paid up to that point.
  5. Upon finalization of your project, I will send an itemized PayPal invoice (for tax and reference purposes) that will need to be paid before I release the final design files to you. You do not need to have a PayPal account to pay the invoice.

Rights & Licenses

  1. The right to use the design is conditioned upon receipt of full payment. If the final fee goes unpaid for longer than 30 days, I have the right to sell the design to another.
  2. Once you have paid for the design, you are granted the exclusive license to use the final design as it was intended and any associated promotional purpose.
  3. You are not granted any rights to use any of the earlier drafts in any way whatsoever.
  4. I hold full copyright over all the versions of the design. You are not permitted to claim the design as your own or resell the design without consent.
  5. I retain the right to display and exhibit the design for promotional purposes in my portfolios and on my website.
  6. I have the right to reuse the fonts, textures, actions, and stock images that I have purchased and were previously used in other designs though no specific final design will ever be reused. Each one is exclusive.
  7. You may not alter the design in any way, unless those alterations have been approved in writing by Stephannie Beman, supplied by Stephannie Beman, or you have purchased the raw editable files of designs. These PSD files are available for $150.

Client Provided Images

By sending me any content or photography, you agree that:

  1. You own all right, title, and interest in, or otherwise have full right and authority to use the content/photography.
  2. To the best of your knowledge the content or photography provided does not and will not infringe upon or violate the rights of any third party.
  3. You have permission and are in compliance with the terms and conditions of any licensing agreements which govern the use of Third Party Materials.
  4. You will comply with all laws and regulations as they relate to the Services and project.
  5. You take full responsibility for any legal repercussions. In other words, if you didn’t get proper written permission or pay for the license of an image and have proof, and the copyright holder wants to sue someone, you are liable for the consequences and the legal costs. Having a proof of purchase may save you thousands of dollars in the future.

Payments & Refunds

  1. I have the right to change design prices without prior notice. However, if you made an order before the price change, I will honor the price we agreed upon.
  2. I accept payment through the PayPal invoice I send you or through personal/business check. PayPal fees are included in the final balance and all personal checks will be deposited before the release of the design.
  3. I prefer that the total cost be paid before or upon finalization of the design but I understand that that isn’t always possible and I offer a payment plan. However, 100% of the balance must be paid before the release of the final design.
  4. A refund of all fees paid up to that point is NOT possible in the following cases:
    • The project has been finalized and the files provided to you.
    • Premade book covers and logos are non-refundable unless stated otherwise.
  5. I will provide a full refund of all fees paid up to that point, provided the following conditions are met:
    • You have paid a deposit of at least 50% of the value of the project
    • You have not selected a concept to move forward with (in other words, we are still in the initial drafts stage), or
    • I have had some correspondence from you regarding your cover within 3 months prior to the cancellation


  1. Sometimes, despite all my best intentions, it just doesn’t work out. If I can see that I’m just not getting it right, whether it’s through numerous drafts, concepts or changes, or if there is a breakdown in communication, or for any other reason, I reserve the right to cancel a project at any time and refund all fees paid up to that point.
  2. If the original brief changes in any way, I reserve the right to cancel the project immediately.
  3. If you want to cancel the project, I will provide a full refund of all fees paid up to that point, provided the following conditions are met:
    • You have paid a deposit of at least 50% of the value of the project
    • You have not selected a concept to move forward with (in other words, we are still in the initial drafts stage), or
    • I have had some correspondence from you regarding your cover within 3 months prior to the cancellation
  4. If you wish to cancel the project after you have selected an initial draft, you agree to forfeit the cover design deposit already paid. Any other fees already paid (eg. Additional services) will be refunded.
  5. If you wish to cancel your project after the final eBook cover/front cover has been approved, you will forfeit 100% of the eBook cover design fee.
  6. In the case of any cancellation from any party, all designs already created by Stephannie Beman and sent to the client must be destroyed by the client. The client retains no rights to any designs whatsoever.
  7. If the project is cancelled due to illness, injury, or events beyond our control, like: fire, theft, computer failure, and Acts of God, I will refund you the money paid. If terminated for reasons other than the above I shall keep the full deposit made to me.
  8. If you feel the work is unsatisfactory, please discuss it with me prior to termination and allow me a chance to fix any problems. You cannot claim any additional expenses, damages, or claims based on the failure of Stephannie Beman to complete the design(s).


  1. All correspondence from and to Stephannie Beman will be via e-mail or the website StephannieBeman.com. There are no exceptions.
  2. My business days for Book Cover Designs are Tuesdays – Thursdays. If you email me on a Monday, Friday, a Holiday, or during the weekend and I don’t answer, it’s because those aren’t my business days. I will answer your emails when I return to work, but depending on the busyness of my schedule, it may take me a few business days. If I don’t respond within a week, email me again. I promise I’m not ignoring you. Sometimes emails get eaten by cyberspace or slotted into my spam folder, never to be seen of again.


 By hiring Stephannie Beman and using the final design, you agree to credit me in the copyright page or acknowledgments. Something like this will work on the copyright page: Cover Design by Stephannie Beman at stephanniebeman.com


All client information and materials are considered confidential and only for use by Stephannie Beman to work on a project. Client information and project materials will not be given out or shared with any third party, without obtaining your consent to do so or by the request of the client.

In compliance towards the General Data Protection Regulation (GDPR), of the European Union, all information from clients such as Authors and Publishing Houses who fill up our sign-up forms (Book covers, Interior Formatting, Logos, Premades, etc.) will only be used and retained for the following purposes:

  • Invoicing
  • Design Brainstorming Sessions
  • Booking Reconfirmation
  • Marketing of clients work
  • Article/Blog Post features

By continuing to use my services and products, you have given me your consent to use the information I received based on the forms you filled out for the purposes identified above.

THESE TERMS & CONDITIONS, including the policies incorporated herein by express reference, constitutes your entire agreement with us with respect to your use of my services. These terms and conditions were last updated on 05/15/2020.
